Summer Scholars Participation Guidelines

Student Eligibility & Expectations

Students who wish to participate in the SSFP must meet the following conditions:

• Possess and maintain good academic standing with a minimum cumulative grade point average (GPA) of 2.00 and infraction-free BW disciplinary and Title IX standing.

• Complete at least 45 total credit hours of coursework and a minimum of one full-time semester at BW prior to the application deadline.

• Enroll and complete at least one (1) additional semester as an undergraduate student at BW during the term following the SSFP.

• Student applicants may receive only one SSFP award during their time at Baldwin Wallace University, and the grant must be used in the summer for which it was awarded. There are no deferments.

• During the second half of the Spring 2023 semester, student participants will be required to attend three, 1-hour workshops in preparation for the summer experience. Students accepted into the SSFP will work with the program staff to find a common time for these workshops.

• Student participants must agree to full-time participation (a minimum of 30 hours per week). Students desiring to take courses or maintain an ongoing employment situation that takes no more than a few hours a week (e.g., church musicians, babysitting, etc.) should include in their application an explanation of the work commitment, number of hours involved, and the ways in which it would or would not interfere with full-time participation in SSFP. The faculty mentor must include an understanding and support of these situations in their letter of support.

• Students are expected to attend all required SSFP meetings and weekly programming. Required programming will be condensed into a 1.5-2-hour block each week. Additional programming (community-building events like field trips) will be optional each week.

• SSFP participation cannot be remote.

Faculty Mentor Expectations

BW faculty who wish to participate as a mentor in the SSFP must meet the following conditions:

• Collaborate with the student in developing and editing the application for participation in the SSFP.

• Attend a 1-hour virtual faculty orientation to the SSFP in the spring to go over expectations and answer questions.

• Serve as the mentor of the student-researcher, providing consistent supervision and responsiveness in person and by email during the duration of the program. Faculty must have a minimum of two live (in-person, phone, or video conference) check-ins with their student each week in addition to participation in meetings that involve the Summer Scholars Fellowship Program staff and other SSFP participants. Faculty should anticipate a minimum average of three hours per week of engagement with their student and the program, though some projects could require significantly more involvement and some weeks will involve additional time to participate in SSFP programming.

• Once or twice during the program, help to lead group lunch meetings on a topic of interest to the faculty member and the student participants.

• Attend the kick-off meeting during week 1, mid-summer presentations (approximately week 5), and final presentations for all students during week 10.

• Ensure that all required regulatory committee approvals (human subject, vertebrate animals, recombinant DNA, etc.) are met before SSP begins.

Budget Oversight

SSFP participants will receive a $500 allotment for supplies, services, or travel used in direct support of the research project.

• The SSFP staff will supervise spending from this account and will be responsible for the determination of eligible expenses.

• Funds can be requested from the point of student acceptance into the program through the final day of the program.

• Students can apply for up to an additional $150 in research funding after the start of the program. Additional funding will require the demonstration of significant need.
