Set up the Microsoft Authenticator App

The Microsoft Authenticator app adds an extra layer of security to your BW account by enabling multi-factor authentication (MFA). It helps protect your information by requiring verification when signing in. Watch the introduction video to learn how to set up and use the app.

    Visit myaccount.bw.edu

    Launch an internet browser on your device (Chrome, Safari, Firefox, Edge). Enter myaccount.bw.edu in the address bar of your internet browser, then press Enter or Go.

    Enter Your BW Email Address

    Enter your BW Email Address in the Email or phone field.

    Click Next.

    Enter Verification Code

    Your mobile device should have received a text code.

    Enter the code in the Verification code field

    Click Sign in.

    Trust Baldwin Wallace University

    If you are presented with the Do you trust bw.edu question, click Continue to proceed to myaccount.bw.edu.

    Click Security info

    Once you have successfully signed in to myaccount.bw.edu, search for Security info in the main portal home screen.

    After locating Security info, click the UPDATE INFO link.

    Add New Sign-in Method

    Once the Security info page launches, you will see all the methods you have available to approve signing on to your BW Account.

    IMPORTANT: It is vital to have multiple ways to authorize access into your BW Account. The Microsoft Authenticator App is the default method for signing on to your BW Account.

    Click the Add sign-in method to add another MFA method on your BW Account.

    Select Microsoft Authenticator

    Once the Add a sign-in method menu appears, click the Microsoft Authenticator option to begin setting up the Microsoft Authenticator on your mobile device.

    Download Microsoft Authenticator

    On your mobile device visit the Apple App Store or the Google Play Store and search for and download the Microsoft Authenticator App.


    Once you have downloaded and installed the Microsoft Authenticator App on your mobile device, click Next on the Start by getting the app window.

    Set Up Your Account

    Once downloaded and installed, launch the Microsoft Authenticator App on your mobile device.

    Sign in to the Microsoft Authenticator App with your BW Account Credentials.

    Add New Authentication Method

    Touch or tap the plus (+) in the upper right of the Microsoft Authenticator Screen.

    Select Work Or School Account

    Next touch or tap Work or school account.

    Once you have selected Work or school account, switch back to your computer and click Next on the Set up account screen.

    Scan QR Code

    Once you have clicked Next on your computer, a new screen with a QR Code will be displayed.

    Scan QR Code On Mobile Device

    On your mobile device, tap or touch Scan QR code.

    IMPORTANT: You may need to allow the Microsoft Authenticator App permission to access your device's camera.

    The camera on your mobile device will turn on. Point the camera directly over the QR code displayed on your computer.

    Once you point your mobile device's camera at the QR code on your computer, the Microsoft Authenticator App will automatically return to the home screen. Baldwin Wallace University will be listed as one of the Authenticators.

    Return to your computer, click Next to proceed.

    Testing Microsoft Authenticator

    It is now time to test the Microsoft Authenticator App to make sure it works correctly.

    A number will appear on the your computer screen.

    Confirm Authentication Code

    On your mobile device, launch the Microsoft Authenticator App, if it is not already running.

    Enter the authorization number that appears on your computer screen in the space provided on your Microsoft Authenticator App.

    Touch or tap Yes.

    Microsoft Authenticator Setup  Complete

    Once you enter the authorization number in the Microsoft Authenticator App, your computer will notify you of a successful test.

    Click Next on your computer to complete the setup.

    IMPORTANT: The Microsoft Authenticator app is required to access all your Baldwin Wallace University online resources, including BW Email, MyRecords, MyAccount, and Microsoft Office products. Do not delete this app.
